This policy describes how long Revion Solutions Incorporated (“Revion”) keeps Customer data in hosted and managed environments, what happens to that data when Services are cancelled or terminated, and what Customer is responsible for. It supplements the Terms of Service, the Service Level Agreement, the Data Processing Agreement, and the Privacy Policy. Where a signed agreement between Customer and Revion says something different, the signed agreement controls.
1. What This Policy Covers
This policy covers Customer Content held in Revion-hosted or Revion-managed environments: servers and instances, databases and schemas, application files, mailboxes, configuration, logs, snapshots, and any backups or exports held in Revion-managed systems. It does not cover Revion’s own business records, such as invoices, account records and support correspondence, which are described in the Privacy Policy.
2. Backups Are a Convenience, Not an Archive
Some plans and Orders include Revion-managed backups, for example scheduled database exports on shared Oracle APEX plans or file-level backups on shared hosting plans. Where a plan description or Order states a backup retention window, that window applies while the Services are active.
On shared and multi-tenant plans, these backups are provided as a convenience. They are performed on a best-effort basis, are not a guaranteed service level, and carry no warranty as to completeness, integrity, or restorability. Backups can fail, can capture content that was already damaged, and can be affected by changes made while a backup is running. Section 12 of the Terms of Service governs the limits of any Revion-performed or Revion-facilitated backup.
Customer is responsible for verifying that any Revion-managed backup actually meets Customer’s recovery requirements. This includes periodically confirming that backup files exist, are current, and are usable for the restore Customer expects to perform. Customer may request a test restore, which may be subject to a fee quoted by Revion. Customer remains responsible for keeping an independent copy of its own data outside Revion systems. This applies on every plan, including plans that include Revion-managed backups.
All backups, exports and snapshots held by Revion are operational copies that exist so that a live environment can be restored during normal service. They are not an archive maintained on Customer’s behalf, and they do not survive the environment they belong to. When an environment is deleted, its backups are deleted with it.
3. Retention While the Services Are Active
While an account is active and in good standing, Customer data is retained for as long as the Services are provided, subject to any retention window stated in the applicable plan description or Order.
4. Cancellation Requested by Customer
When Customer requests cancellation, the Services end on the cancellation date confirmed by Revion. Customer must export a complete copy of its data before that date. On or after the cancellation date, Revion will decommission the environment and delete all associated Customer Content and backups. Deletion is permanent. Revion does not keep a copy after cancellation and cannot restore, rebuild or produce the data afterwards.
If Customer needs assistance producing a final export, the request must reach Revion before the cancellation date and may be subject to a fee quoted by Revion.
5. Suspension and Termination for Nonpayment
The nonpayment schedule is set out in the Terms of Service and summarised here, measured from the invoice due date:
Day 0: Payment due.
Day 1: Account is past due. Revion may suspend the Services. Fees continue to accrue during suspension, and reinstatement requires payment in full of all outstanding amounts plus a reconnection fee quoted by Revion before any reinstatement work is performed.
Day 7: Revion may terminate the Services and permanently delete the environment and all associated Customer Content and backups.
Deletion after termination is permanent and irreversible, and applies regardless of any payment, request or communication received afterwards. Revion does not retain an archive of terminated environments, and restoration is not available for purchase at any price. Resuming service after termination requires a new Order, new provisioning, and payment of then-current setup and subscription fees.
6. Export Requests Before Deletion
A request for a data export or handover must reach Revion before the deletion date: before the cancellation date where Customer requested cancellation, or during the suspension period and before termination where the account is unpaid. Exports are subject to payment in full of all outstanding amounts plus a data-retrieval fee quoted by Revion. Revion is not obliged to delay cancellation, termination or deletion in order to accommodate a request.
7. Exceptions
Where a signed agreement, a Business Associate Agreement, a Data Processing Agreement, or applicable law requires different handling of data on termination, including return or certified destruction, that requirement controls. Revion may also retain data where required to do so by law or by a valid legal hold, in which case the retained data remains subject to the confidentiality and security terms of the applicable agreement.
